Case Study: Annual Conference for 120 Guests

 

The Brief:

 

A well-established London-based IT Software Company contacted us to organise their Annual Sales Conference.

 

120 guests were invited to attend a conference, where they'd enjoy dinner and overnight accommodation.  This was to be hosted within a ‘unique’ venue in the north of England, to take the company away from its home in London.  The £35,000 budget needed to cover:

 

  • Total Event Management
  • Car Parking
  • Unique Conference Facilities
  • Lunch
  • Evening Entertainment
  • Dining Space
  • Dinner 
  • Guest Speaker
  • Overnight Accommodation
  • Breakfast

 

The Venue:



The Royal Armouries in Leeds is one of the UK’s National Museums of Arms and Armour, and boasts a vast collection.  It also offers some of the largest and most comprehensive corporate hospitality in the North of England.

 

 

Providing excellent conference and business facilities plus fantastic dining, entertainment and accommodation rates, with its on-site hotel, plus car parking for those drivers. This proved the perfect ‘unique’ venue for our client.

 

The Event:

 

Décor and company branding was arranged and displayed around the museum, giving guests a feeling of familiarity and venue “ownership” upon arrival.  It was important for the client and guests to feel comfortable and essential for Paragon to provide sound brand experience.

 

Guests were invited for welcome drinks before taking their seats in one of the five stunning galleries for their Annual Company Conference to commence.  Prior to this, the room was set up with complete IT and presentation equipment, company branding, music and corporate literature.  Paragon then worked with the client to manage event timings, ensuring all ran as scheduled.

 

Once the conference closed guests departed to change, returning to enjoy their evening entertainment, held within the 'Street' suite, a large room oozing character and charm, with space for the group to relax, socialise, dine and be educated by a topical motivational speaker as well as entertained by the five-piece band after dinner.

 

The party was re-joined for breakfast where luxury gift bags had been arranged, donated by key partners, aimed to develop business networks amongst the group.

 

PSM have been since contracted to arrange, organise and manage all future company events, which is fantastic opportunity!
